Export presentation
The export panel exports exactly the slides you want as PDF, PowerPoint or image — straight to a file, as an email attachment or to the clipboard. It understands sections, hidden slides (including ones only linked via a Zoom), slide ranges and reusable presets.
Pro feature
Presentation export requires a Pro licence (Trial included). Without Pro, clicking opens the licence section.
Opening
On the ribbon under PPPTools → group "Export":
- Export Presentation — opens the export panel on the right.
- Presets ▾ — runs a saved preset with a single click (see Presets).
What to export
| Selection | Meaning |
|---|---|
| All slides | The whole presentation |
| Current slide | Only the slide currently shown |
| Selection | The slides selected in the slide pane (Ctrl/Shift-click) |
| Range | Free text such as 1-5, 8, 12-15 |
| By sections | Any sections via checkboxes |
Max. slide sets an upper bound (0 = no limit). The "Will be exported" counter shows live how many slides the current selection yields.
Hidden slides
- Include hidden slides — includes all hidden slides.
- Only when linked in a Zoom — includes a hidden slide only if it is used by a Slide Zoom, Section Zoom or Summary Zoom. Ideal for keeping Zoom targets in the PDF without dragging along every hidden slide.
Format & destination
| Format | Result |
|---|---|
| One PDF (using the chosen output layout) | |
| PowerPoint | A new .pptx with only the selected slides |
| PNG / JPG | One image per slide (JPG if the file name ends in .jpg, otherwise PNG) |
| Destination | Behaviour |
|---|---|
| File | Saves to the chosen folder (optional "Open after export") |
| Creates an Outlook draft with the file attached; address/subject optional | |
| File + Email | Saves the file and attaches it to an Outlook draft — in one step |
| Clipboard | Image (single slide) as an image (paste into Word/mail); PDF/PowerPoint as a file reference (paste into Explorer/Outlook) |
Output layout (PDF only): slides, handouts (1/2/3/4/6/9 per page), notes pages, outline or build slides.
File & placeholders
With "Folder + name like presentation" the file is placed next to the presentation and takes its name — ideal for a reusable preset (works for any presentation, not just the one you created the preset with). If the presentation is on SharePoint/OneDrive, it is written there (into the locally synced folder, or directly to the online location).
No fallback folder
If the file can't be saved to the intended location, the export stops with an error — it is never silently placed in a substitute folder.
Without this option, folder and file name are free to choose. The name may contain placeholders:
| Placeholder | Replaced with |
|---|---|
{Präsentation} / {Presentation} |
Presentation name |
{Datum} / {Date} |
Current date (YYYY-MM-DD) |
{Zeit} |
Current time (HHMM) |
{Section} |
Selected sections (when using "By sections") |
{Kunde}, {Thema}, … |
Any document property of the presentation |
Placeholders are case-insensitive and can be combined freely. Unset or unknown placeholders are simply removed, invalid file-name characters are replaced.
Examples:
| Pattern | Result |
|---|---|
{Presentation}_{Date} |
Quarterly-report_2026-07-14 |
{Kunde}_{Thema}_{Date} |
Acme-Corp_Strategy_2026-07-14 |
Offer_{Kunde}_{Section} |
Offer_Acme-Corp_Intro-Analysis |
Custom fields like {Kunde} and {Thema}
These placeholders read custom document properties of the presentation — the placeholder name equals the property name. To create them:
- In PowerPoint go to File → Info.
- On the right under Properties, click Advanced Properties (or "Show all properties" → "Advanced").
- On the Custom tab: enter a Name (e.g.
Kunde), a Value (e.g.Acme Corp), then Add. - Add as many fields as you like (
Thema,Projekt,Version…), then OK.
After that {Kunde} in the file name automatically yields the stored value. The properties are stored inside the file and travel with the presentation.
Capturing this will get easier
A dedicated UI to maintain this metadata (client, topic, …) directly in PPPTools is planned — until then set it via the PowerPoint properties as shown above.
Presets
A preset stores all panel settings under a name — for one-click exports.
- Save current settings… — creates a preset from the current panel settings.
- Load — applies a saved preset back into the panel.
- Delete — removes the selected preset.
Saved presets appear on the ribbon under Presets ▾ and run directly there (for the Email destination, the draft opens).
Example: one-click preset PDF to email
Format PDF, destination File + Email, option Folder + name like presentation → save as a preset. One click on the ribbon saves the PDF next to the presentation and opens an Outlook draft with the PDF attached.
Presets with sections
A preset using "By sections" remembers the section names. In another presentation without those sections the selection won't match — use one of the other selection modes instead.
Notes
- The presentation must be saved before you can export.
- If the presentation lives online (SharePoint/OneDrive), the target folder is set to a local folder — adjust as needed.
